Work Faster with Pipedrive's activities

When it comes to sales, keeping things organized and getting stuff done is super important, right? Well, that's where Pipedrive comes in handy. It's got loads of features to help you stay on top of your game and get things done faster.

In this guide, I'm gonna show you how to make the most out of Pipedrive's Activities. We'll talk about how you can customize it to fit your needs, sort activities based on priority and due dates, and even use activities to work better with your team. Oh, and I'll throw in a few tips to make things more fun and engaging for everyone involved. Ready to dive in? Let's go!

Can I work from Pipedrive’s Pipeline view?

Pipedrive is an activity based sales system which means that every open deal should have a next planned activity. To that end, when looking at your Pipeline (https://YOURDOMAIN.pipedrive.com/pipeline), you will see that the Deal cards have one of the following icons:

  • Grey circle - there is a planned activity scheduled for a future date
  • Red circle - there is an overdue activity
  • Yellow triangle (Warning Sign!) - there is NO planned activity
  • Green circle - there is an activity scheduled for today

While you may be tempted to work from the Pipeline view, this view gives you an incomplete picture of activities and you’ll end up wasting time. For example, on this screen you cannot tell who the activity is assigned to or which activity has the highest priority. 

You will save time and work WAY more efficiently from your Activities view (https://YOURDOMAIN.pipedrive.com/activities/list) instead of your Pipeline view.

Customize your activities view

Pipedrive will have pre-set columns visible in your Activities view (for example Done, Subject, Contact Person, Email, Phone, etc.), but you’re going to customize this!

Use the gear icon to select which columns you’d like to see in your activities view. (This icon is on the upper right-hand side of your activities screen just under “Select period.”)

Customizing your columns view will enable you to see the details that are most important to YOU and YOUR involvement in closing the sale. For example, you might include the Deal Stage, Deal Value, and Activity Type (email, phone call, task). You might remove the Person Phone and Person Email. Check the fields you want to see, uncheck the fields you don’t want to see and then click “Save”

Once you’re seeing the details that you want, drag and drop the columns to re-order them in whatever way works best for your brain.

The second customization you can make is the Who and When of the activities that you’re seeing. Use the options on the upper-right-hand side to select if you’d like to view your own activities or someone else’s.

Use the time periods below to then refine the list of activities that you’re seeing. I recommend starting your day by looking at Activities Assigned to You due Today. Once you get through that list, look at Activities Assigned to You that are Overdue. Once you’re done with that list you can look at Activities Assigned to You that are To-do which will have all of your planned activities regardless of due date.

How to prioritize your work

The Activities list view will color code your activities. For example, if you’re looking at To-do activities you may see activities in different colors:

  • Red activities are overdue
  • Green activities are due today
  • Black activities are due in the future

Activities can be sorted (A-Z or Z-A) using any of the data columns. To sort the activities, just click the column header. For example, if one of your Labels is “Hot,” click on the Label column and you’ll be able to see activities due on “Hot” deals right next to each other. Another common column to sort by is Due date.

Take your activities to the next level

Save yourself a few clicks (you know they add up!) by updating your Default landing page to Activities. You can do this under your Personal Preferences and then Interface Preferences. (Don’t forget to scroll to the bottom of that page and click “Save.”

Here are a couple of other ways I like to spice up Pipedrive’s Activities:

  1. Create custom activity types for different types of tasks (e.g. Quoting, Sending Proposals, Demos) and select a unique icon for each. This can be really helpful if you ever want to pull a report of specific types of activities complete (for example, to answer the question, How many proposals did we send last month?
  2. If you’re creating activities via automation, add emojis into your Activity Subjects — it’s fun and especially for a visual team, it can help everyone work faster — ⏳ ✏️⭐💰🤑. A simple change like this can make a huge difference for your team.
